The first thing that must be done is the embedding of the fonts:

To embed your fonts in Microsoft Word 2007:

  1. Click the Microsoft Office Button.
  2. Click Word Options.
  3. On the Save tab, click to select the Embed fonts in the file check box.
  4. Click the OK button.
  5. Save the document.

To embed your fonts in Microsoft Word 2010:

  1. In the File pull-down menu click on Options.
  2. Choose Save on the left sidebar.
  3. Check the box next to Embed fonts in the file.
  4. Click the OK button.
  5. Save the document.

Creating a PDF file in Microsoft Word 2007

In order to create a PDF file that we will be able to publish the following print option will need to be enabled when using Microsoft Word 2007.

Open the Word document in Microsoft Word 2007 and select the "PDF or XPS" option under "Save As".

Check the "ISO 19005-1 compliant (PDF/A)" option and press the OK button.

Click the Publish button to create the PDF file.

Creating a PDF file in Microsoft Word 2010:

In order to create a PDF file that we will be able to publish the following print option steps need to be enabled in Microsoft Word 2010.

Open the Word document in Microsoft Word 2010 and select "Save As" from the "File" pull-down menu:

Select "PDF" as the "Save as type:" and click the Options button:

If the "ISO 19005-1 compliant (PDF/A)" option is not enabled, check the box to enable it. Press the OK button.
