Admins, PDA/Loans Reports: Usage data for un-purchased PDA titles

The weekly "PDA Trigger Report" shows usage for triggered titles from your PDA discovery collections.  If you are interested in monitoring usage data for titles in your PDA discovery collections that have not yet been triggered for purchase, you can get that data as follows:I. If your site does NOT use Loans, the following instructions will show you all usage on titles that are or have been in your PDA discoverable collections and that have not yet been triggered for purchase:
  1. Select the "Admin" tab, then the "REPORTS" tab
  2. Select "Title Report"
  3. Set these filters:- Time Period: "Last 12 months" or the time period you are interested in- Choose Columns: "Usage Type" and "Title"- Output: "Excel"
  4. Run the report
  5. Sort by Column C, "Usage"
  6. Locate the set of lines that have "Usage" = "PDA".  Those are the ones you want; they show usage for your un-triggered PDA titles.  You do not want "PDA SUPO" or "PDA MUPO"; those are titles that were in your PDA discovery collections, but have already been purchased

 

II. If your site DOES use Loans, the process is more complicated.  The following instructions will show you usage on titles that are or have been in your PDA discoverable collections and that have not yet been triggered for purchase or loan:First, create a list of all titles that have been purchased or loaned:
  1. Get Holdings Report, settings: select all collections, select report type "Purchase Data"- Note, select all collections, not just your PDA collections, because purchased titles are removed from your PDA collection so might not currently be associated with the PDA collection
  2. This produces a list of all PDA titles that have been loaned or purchased (whether from your PDA discoverable collections or not)- There may be multiple lines for the same docID if the a title was loaned more than once or was loaned and then purchased- De-dupe this list so there is only one line for each docID
  3. Just for identification later, set the font color of this de-duped list of purchased or loaned docIDs to red
Create a report of all usage on titles that are or have been in your PDA discoverable collections
  1. Get Title Report, settings: select Usage Type, select all collections, select Excel output
  2. Open the Title Report in Excel and:- Sort on the Usage Type column- Keep only the titles with Usage Type PDA.  You do not want "PDA SUPO" or "PDA MUPO"; those are titles that were in your PDA discovery collections, but have already been purchased.
  3. That produces a list of all titles that had usage and are or were in your PDA collection
Remove all purchased or loaned titles from the Usage Report for all PDA titles
  1. Eliminate the list in red from step 2 (all purchased or loaned PDA titles) from the list in step 4 (all titles that had usage and are or were in your PDA collection)
  2. That produces a usage report for all titles that are or have been in your PDA discoverable collections and have not yet been purchased and have never been loaned
Note, the data the Title Report accesses is updated on Sundays.
